When DoctorNest Is Not the Right Fit for Your Clinic

It is unusual for a software provider to explain when its own product is the wrong choice. Yet if a clinic adopts a tool that does not fit its work, uses it for a few months and gives up, neither side benefits. Here are the situations in which we would suggest looking elsewhere before choosing DoctorNest.

1. Your main problem is clinical records or billing

This is an important distinction to make at the outset.

DoctorNest handles inquiries and the conversations that follow them. It does not replace clinical records or process billing claims.

If these are the problems you need to solve, review your electronic medical record system first:

  • Charting takes too long.
  • Claims are frequently rejected.
  • An aging system makes server maintenance a burden.
  • You have to compile the figures separately whenever you need a report.

Adding an inquiry management tool will leave those problems unresolved.

2. All inquiries come through one phone line

DoctorNest's main purpose is to bring scattered messaging channels together. If there is nothing to consolidate, the benefit may be limited.

If most inquiries come by phone and the reception team handles them comfortably, your current approach may already suit the clinic. There is no need to add software simply for the sake of it.

One question is still worth checking: are other inquiries invisible because you only offer a phone number? A profile can receive views while some interested people have no convenient way to ask a question. Phone-only inquiries do not, by themselves, show that everyone prefers to call.

3. Your team does not work at a computer

DoctorNest is currently provided primarily for use on a PC.

The intended workflow is a staffed reception desk using a computer or tablet. Before adopting it, check that it works on the device your team will actually use. The current format may not suit you if:

  • The owner or manager replies only on a phone while moving around.
  • No one regularly staffs the reception desk.
  • Staff have to reply on their phones between treatments.

This can also apply to beauty businesses without a dedicated receptionist. Consider the actual working day before committing to a new tool.

4. You only need automation after a patient has visited

If your sole requirement is following up with existing patients and arranging return appointments, a tool focused on that stage may be a better fit.

DoctorNest includes return-visit reminders, but its main focus is handling incoming inquiries. If new inquiries are already well organized and follow-up is your only concern, compare other options as well.

5. Your current response process works well

Check the following points. If you are satisfied with all of them, there may be little reason to change systems.

What to checkQuestion to ask
Number of inquiry channelsAre there only one or two, and is every channel being checked?
Time to first replyDo most inquiries receive a prompt response?
Out-of-hours inquiriesAre there few, or can they comfortably wait until the next day?
Inquiries in other languagesAre there none, or is a suitable response process already in place?
Return-visit remindersAre they sent reliably at the agreed time?

If all five are working well, the process is already being managed. Another tool may add little to a process that already works.

6. No one can take responsibility for the setup

This is a condition for successful use, rather than a product feature.

Someone at the clinic needs to decide on standard messages, clinically appropriate return intervals and the responsibilities and permissions of the people handling inquiries.

If no one can make those decisions, or staff cannot follow the agreed process, the software may fall out of use within weeks. Assign responsibility before introducing it.

When it is worth considering

DoctorNest may be more useful when several of these apply:

  • Inquiries arrive through more than three channels.
  • Messages sent outside clinic hours are not seen until the next day.
  • You receive inquiries in other languages but have no way to respond.
  • Several staff members reply, and their answers have differed.
  • Manual return-visit reminders have sometimes been missed.

Frequently asked questions

What if we adopt it and find that it does not suit us?

Because DoctorNest does not replace the medical record system, stopping its use leaves that existing system in place. Before signing a contract, check whether and how you can export the inquiry and consultation records accumulated in DoctorNest.

When will mobile support be available?

The current service is PC-based. Ask about any future plans during your consultation.

Can it be useful for a small clinic?

The number of channels is more relevant than the size of the clinic. In a small team, one person may be checking several inboxes, so bringing them together can be particularly useful.

Could we just try it and decide afterward?

That is possible. However, a trial will not change the product's purpose or its current device requirements. Check points 1 and 3 before you begin.

A practical decision checklist

DoctorNest may not be the right choice if:

  • Your main difficulty is clinical records or billing.
  • Inquiries come only by phone and are already handled well.
  • Your team does not work at a computer.
  • You only need post-visit follow-up automation.
  • Your current inquiry process is working well.
  • No one at the clinic can take responsibility for the setup and working rules.

We use the same criteria in adoption discussions. If the fit is poor, we recommend another direction.

If you would like to work through these questions for your clinic, contact BlinkAd. Whether or not you adopt DoctorNest, we can help you examine where inquiries are being missed.
