Keeping Price and Promotion Replies Consistent Across Your Team

If people ask about the same promotion but staff give different answers about the dates or what is included, they may wonder which answer to trust. Your hospital needs to be able to check both its current standard information and the replies already sent to each person.

DoctorNest lets a hospital save wording for recurring inquiries and revisit each person's conversation history. The approach is to separate agreed wording from questions that need individual confirmation, so staff do not set prices on their own.

Discuss how to organize your inquiry responses

Include the conditions when answering common price questions

A price reply needs to explain when that price applies as well as the amount. First have the hospital confirm the relevant conditions: the procedure and number of sessions, included items, whether VAT is included, and who qualifies for a promotion and its start and end dates.

Confirmed information can be prepared as saved wording. Checking the text saved in DoctorNest before replying reduces the need to search different documents each time. If the amount varies with the conditions, do not present the standard reply as a fixed final price.

The saved information should also match the conditions in ads and posts. When promotional materials change, review the website, ads and messaging replies, then save the revised wording approved by the hospital. Decide who is responsible for editing it.

Check previous replies in each person's conversation

Standard wording is what staff will use from now on; the conversation history shows what a particular person was actually told. Someone who received earlier terms may return after a promotion changes, so read their conversation before replying again.

Use short notes to record the items and conditions explained and the questions you promised to check. The next staff member can read the conversation and notes to see whether the same conditions were communicated. If a question is awaiting an answer, record who is responsible and when to follow up.

If someone asks for an exception, a person authorized by the hospital should decide. Record the request and reply, and do not let staff promise conditions that have not been approved.

Review saved wording and earlier conversations when a promotion changes

Saving updated promotional wording does not remove conversations that used the previous version. When someone contacts you again, read what they were told and confirm the applicable conditions against the hospital's rules.

Before revising saved replies, check which wording the inquiry team currently uses. Review the hospital website and advertising conditions as well so the information a person saw agrees with the reply they receive.

When updating DoctorNest's saved information, have the responsible staff member also check ad materials and the website price list. Read replies already sent in the conversation history. The hospital should decide how changes to the conditions will be explained.

Start with one question that receives inconsistent answers

You do not need to send the whole price list for an initial discussion. Tell us one item staff find difficult to answer consistently and where they currently look for the answer. We can discuss it without seeing real conversations or contact details.

We can explain which standard information to save in DoctorNest and what to record in each person's inquiry notes. During the discussion, we also check whether your current channels can be connected and how replies can be viewed on a PC.
