Keeping Track of Appointment Confirmations and Changes

When a patient asks to move an appointment through KakaoTalk, sending a reply is only part of the work. Staff still need to change the booking record and check any messages prepared for the old date. Receiving a change request in a conversation does not confirm a new appointment.

In DoctorNest, staff can review the change-request conversation, its notes and the guidance prepared for before or after a visit. The actual appointment is checked and updated in the clinic's existing booking system or appointment book.

Discuss appointment and post-visit messages

Record the change request first

A booking made by phone may be changed through a messaging app. When staff read the inquiry in DoctorNest, they should note the requested date, how to reach the patient with a reply, and anything still needing confirmation.

The person receiving the request may not be the person updating the appointment. Decide who will check the booking system and get back to the patient. Distinguish the time the patient wants from an appointment the clinic has actually confirmed.

A shared view of inquiries still depends on which accounts can be connected. Tell us which channels you use, and we can explain the connection conditions and how staff would review change requests on a PC.

Update the booking system or appointment book

The staff member confirming the appointment enters the new date in the clinic's booking system or appointment book. Check that the change is complete before telling the patient the confirmed details. Writing a new date in a conversation note does not update the actual appointment record.

Use DoctorNest's conversation history to record the request and what the patient was told. If staff are still checking availability, note that availability is still being checked and identify who will reply. The next colleague needs to know that the proposed date is still unconfirmed.

For a cancellation, check both the cancellation entry in the booking system and the reply sent to the patient. Agree on how staff will compare DoctorNest's conversation notes with the existing appointment records.

Check scheduled messages when the date changes

If you planned to send preparation instructions, check whether any messages are still scheduled around the old appointment date. The responsible staff member should review whether the wording or sending time needs to change.

When using DoctorNest for pre-visit or post-visit guidance, also decide who checks change and cancellation requests. Updating the booking system does not automatically update messages prepared elsewhere.

Before preparing a post-visit message, confirm that the patient attended and check what care or procedure was provided. Then follow the clinic's agreed guidance. Do not mark a patient as having attended simply because the appointment time has passed. The responsible clinic staff and clinicians decide the content and timing.

Tell us which appointment messages are being missed

For an initial discussion, tell us where change requests arrive and where you check appointments now. Choose one type of contact your team often has to double-check: confirmation, preparation instructions or a message after the visit.

We can explain how to note a change request in DoctorNest, verify the appointment in the booking system and assign someone to review the scheduled messages. There is no need to send real patient appointment details in advance.
