Salon Customer Management: Keep Conversation Records and Follow-Up Together

Korean original: · Read in Korean

Before contacting a customer again, you may spend time finding out which service they had and what they asked last time. If the conversation is in a messaging app and the service record is elsewhere, every change of staff can mean asking the customer to explain the same thing again.

BeautyNest brings customer conversation records, service records and next-visit reminders together. Begin with the information you will need for the next conversation and the messages your salon regularly sends. There is no need to move every customer record at once.

Discuss customer management for your salon

Record what staff will need for the next conversation

After a consultation, distinguish what the customer actually requested from what staff explained. Briefly record the service or product they were interested in and any question you agreed to revisit. A staff member's guess about a preference should not become a recorded customer request.

After the appointment, record the service actually provided and the products used. Listing something the customer only asked about as a completed service can mislead the next colleague. Continue to check bookings and payments in the system your salon already uses.

Agree on what the next staff member should read first. Reviewing the latest service, most recent conversation and agreed follow-up in the same order can reduce the time spent searching old messages.

Read the conversation and service history together in BeautyNest

If a customer first contacted you through a messaging app and later visited the salon, the next conversation needs both parts of that history: what they asked and what they actually received. BeautyNest's customer-level conversation and service records let staff review both parts of that history together.

When several staff members handle inquiries, check what the customer has already been told. Separate information that does not need repeating from questions still awaiting an answer. The next colleague can then continue the conversation where needed.

Before adopting the service, check whether your inquiry channels can be connected and when staff can enter notes on a PC. If your team only uses phones while providing services, explain that workflow first. During the discussion, we look at the actual accounts and how the team would use them.

Decide why and when to contact the customer again

Before sending a next-visit reminder, review the service provided and what was agreed in the last conversation. A standard interval does not mean that every customer should receive the same message on the same date. Staff should understand why the contact is needed before deciding what to send.

In BeautyNest, staff can review the service record while preparing the next-visit message. Set the timing and content according to the salon's agreed approach and the individual customer's record. Check whether someone has already contacted them, so the same message is not sent twice.

Distinguish visit-related guidance from promotional messages. If you are advertising a new product or offer, check the customer's consent and opt-out status, along with the applicable requirements for sending advertising messages (Korean). Also look in the conversation history for any promotion already sent.

Start with the records that are hardest to find

For an initial discussion, simply explain where you keep conversation notes and where you check service records. Choose one example of the information that takes longest to find before contacting a customer again.

We can explain how to review conversation and service records in BeautyNest and prepare next-visit messages. Together, we can also check which channels can be connected and how to use the service alongside your current booking and payment system.
